Deal Desk add-on · for real estate agents

Nothing on your deals slips. Not a deadline, not a signature.

It reads every contract, counter and addendum in your email, puts each date on the right calendar, watches every e-signature, and drafts the emails to your TC for you to OK. On mornings something is due, you get one short email. On quiet mornings, nothing. It's the Deal Desk, an add-on to the realtor plan.

Real email
A real Deals brief from my own deals, Oct 16, 2026. Names, address and team names changed, and one section left out for privacy.

The problem

A good TC still can't read your inbox.

I'm a licensed agent and a mortgage broker, and I have a great TC. The things that bit me were never her fault. A counter came back signed at 9pm. A buyer sat on an agreement for a week and nobody noticed. The title commitment showed up and I didn't look at it until day four.

All of it was in my email. Nobody was reading my email for deal dates. So I built something that does, and it runs on my own listings and buyers every day.

What it does today

Six jobs it does on every deal.

Each one is live on my own deals right now. Every email below is the real format. Only names, addresses and numbers are changed.

1. Reads every contract and puts the dates on the right calendars

Forward or copy your deal mail and it reads the contract, every counter and every addendum. Each date goes where it belongs: inspection period end and close of escrow on yours, the same plus the trigger deadlines on your TC's, close and the loan status update on your lender's.

It also adds the ones people miss: the buyer's 5 days after the seller's repair response, and the end of the title commitment review.

Calendar · 123 Juniper Ln

📅 Title commitment review ends — 123 Juniper Ln
Mon 10/19 · you + your TC

📅 Inspection period ends — 123 Juniper Ln
Thu 10/22 · you + your TC

📅 Close of Escrow (COE) — 123 Juniper Ln
Mon 11/23 · you + your TC + your lender

Real format
Read from a real contract on my deals. Address changed.

2. One short brief, only when something is due

Deadlines in the next 7 days, documents that came in or are late, who owes you a reply, and any card that looks out of place. If nothing is coming, there's no email. You can answer it in plain words: "move Pat to Under Contract," "the inspection is the 24th," "have my TC send the addendum."

Your deals also live on one private page, sale and purchase shown together when your seller is buying with you too.

Subject: 🏡 Deals: 3 dates this week (one is TODAY) · inspection period ends TODAY
HEADS UP
  • Inspection period ends today on 123 Juniper Ln. The BINSR (the buyer's repair request) is due by then.

Deal board (every deal on one page): your private link

Real format
The subject line moves the urgent date to the front. Address changed.

3. Watches every e-signature

Agreements are matched by the e-sign document itself, resends included, so it never guesses whose is whose. When one is signed, you get one email and one question. Still unsigned after 2 business days? You hear about it then, not a week later.

Works with Brokermint e-sign emails today. Using something else? Ask on the demo.

Subject: Pat & Jo Smith signed the buyer broker agreement

Pat & Jo Smith signed the buyer broker agreement (sent 10/6). Getting Prequalified or Looking?

I'd say Looking: Pat is paying cash (from their record).

Reply "Looking" or "Prequal" and I'll move their card. It waits in Buyer Broker Sent until you do, and no more sign reminders go to them.

You reply: looking → the card moves.

Real format
From a real signed agreement on my deals. Names changed.

4. Drafts the kickoff email to your TC

The moment a buyer is ready to sign, the email to your TC is written: everyone on the agreement with their phone and email, plus term and commission prefilled with your usual. You reply "yes" and it goes. Reply "2.5%" or "6 months" and it fixes it first.

No TC? You get the same facts to send yourself.

Subject: Buyer broker agreement for Pat Smith: OK to send your TC?

This is what I'm sending your TC:

Hi, can you send a buyer broker agreement for Pat Smith and Jo?

On the agreement:
Pat Smith · phone · email
Jo Smith · phone · email

Term: 1 year
Commission: 3%

Thank you!

Reply "yes" to send it. Different terms? Just say so, like "2.5%" or "6 months", and I'll fix it and send it. Or reply "edit:" with your own words, or "skip".

Real format
The real approval email. Names changed, contact details hidden.

5. Moves your cards when the paperwork says so

Fully signed contract: it asks to move the card to Under Contract and reads your commission off the paperwork. Signed listing documents: Getting Ready. Your TC's "it's live" email or the first showing: Active Listing. Closing confirmed: Closed.

Your pipeline matches your deals without you dragging a single card.

Subject: Move Pat Smith to Under Contract? (123 Juniper Ln)

Pat Smith is under contract on 123 Juniper Ln: the paperwork is signed by everyone.

Move the card to Under Contract? Reply "yes" and I'll move it.

Commission from the paperwork: 2.5% of $350,000 = $8,750. It's on the card now. If that's wrong, reply with the right number ("3%" or "$5,000").

You reply: yes → moved, commission saved.

Real format
Names, address and numbers changed.

6. Takes orders by email, like an assistant would

"Move Pat back to Ready for Listing Agreement and have my TC fix the commission." The card moves, and the email to your TC is drafted for your OK. After a recorded call, you get one short question ("Talked to Pat. Move them to Looking, or leave them?") and the call note lands in your CRM, not your inbox.

Subject: Talked to Pat Smith (real estate). Move them?

Talked to Pat. Wants to see two homes on the east side this weekend.

Move to Interested – Not Signed Yet / Ready for Buyer Broker / Looking, or leave them? I'd say Ready for Buyer Broker.

Just reply with where they go, like "Looking" or "leave them". Any words work.

Real format
The call summary line is an example. The rest is the real email.

Being built now

Coming next, on my own deals first.

These aren't live yet, so they aren't in the list above. They go on my deals first, and onto this page once they've worked.

Daily TC nudge

A short nudge to your TC each day until the agreement goes out, checked against your mail first.

Sign reminders

Friendly reminder texts to clients who haven't signed, drafted for your OK.

Listing checklist

Disclosures, insurance claims report, HOA docs and photos, tracked until they're all in.

Questions agents ask

Does this replace my transaction coordinator?

No. Your TC still does the paperwork. This makes sure nothing your TC, your lender or you owe slips: every date is on everyone's calendar, and you hear about an unsigned agreement before it costs you a week.

Does anything go to my clients or my TC without me?

No. Every email to your TC and every message to a client is drafted to you first. You reply yes, fix it in plain words, or skip it.

What do I have to set up?

Your deal mail, your calendar, and your TC's and lender's email addresses. We set up the rest.

Is this AI?

Yes. It reads your contracts and your deal mail with AI. We build it and run it, and you never have to touch it.

See it on a real deal.

30 minutes. I'll show you the briefs, the calendar and the signature emails running on my own deals.
