For real estate agents

My listings come from past clients I stayed in touch with.

Here's the system that keeps you in touch, so yours call you too. Apex works your past clients, your sphere and the buyers and sellers who went quiet, by text and email in your voice. Add the Deal Desk and it runs the paperwork chase too, from contract to closing. You approve every message first.

The problem

Your past clients forget who their agent was.

Most people buy or sell again, and most of them tell a friend who's looking. But if they haven't heard from you in two years, they call whoever is in front of them that week.

On July 3, 2026, my own CRM had 3,280 contacts in it. Only 214 of them were in a pipeline. Everyone else was just sitting there: people I'd closed with, buyers who went quiet, sellers who said "maybe next spring."

I'm a licensed agent too, and I'll be honest: I didn't have time to work that list by hand. You're showing homes, writing offers and keeping deals together, and that's the right call. So I built something to do the following up for me.

Where my listings came from

Three listings. Three past clients.

My last three listings all came from people I'd already helped and kept in touch with. I didn't buy a single one of those leads.

279 W Sycamore
Sold them this house in 2024. They called me to sell it in 2026.

They didn't interview anyone else. See every step on this listing →

October 2026
One call. A listing, a loan and a referral.

Past clients moving across the state. Their sale, their next loan and a referral to an agent where they're going, all running from one call.

October 2026
A past buyer, now a seller.

I helped her buy in 2025. This month she called me to list.

From Kristi Olson's own business. Client names left out on purpose. Results vary.

Grow more. Own your time.

More deals from the people who already know you. Fewer hours chasing them.

🏡

Stay their agent

Past clients and your sphere hear from you at the right time: home anniversaries, a "what's your home worth" check, a referral ask on its own. Buyers and sellers who went quiet get a real reason to reply.

⚡

Answer new leads in minutes

Website leads and referrals. Every one hears from you within minutes, day or night, and keeps hearing from you until they book or say stop.

📅

Just take the calls

When someone's ready, they land on your calendar.

For your listings

Win the listing, then keep the seller in the loop.

Home value request + prep sheet

A "what's my home worth" page with your name on it. When a seller fills it in, you get a private prep sheet: a ballpark range from public records, nearby listings and a rent estimate, with a reminder to check your own closed comps. It never hands the seller a number. You make the call.

Listing Interview

Skip the paper input form. Your seller gets a link to a 10 to 15 minute chat that asks what the MLS needs. You and your TC get the filled-in sheet, draft public remarks, confidential remarks and directions.

Seller plan + Listing Sheet

After the listing call, send a plan with your price range, the recent sales you picked and how you'll market the home. For sellers torn between selling and renting, a one-page rental snapshot that never tells them what to do.

Your listing goes live

The day it hits the MLS, your seller gets a "you're live" email. It checks the listing made it to Zillow and chases the link, so your seller never has to tell you.

First Look for your buyers

Every new listing of yours is matched to the buyers on your list who fit, with an email and a heads-up text the day it goes live.

Monday seller updates

Every Monday it reads the MLS activity report and the showing emails and drafts the seller's update: views, showings, feedback, nearby solds. You approve it. You also get a private call-prep email for each listing.

Deal Desk add-on · under contract

A backup for you and your TC.

Add the Deal Desk to your plan and it reads every contract, counter and addendum, puts each date on your calendar and hands you invites to forward to your TC and lender, watches every e-signature and drafts your TC's kickoff emails for your OK. It reads the inspection report and the title commitment and drafts a calm, plain-words email to your buyers that waits for your OK. One email on Monday with the week, and a heads-up the day before anything is due.

Subject: 🔎 Inspection on 12 Pine St: OK to send?

Pat and Jo's inspection report came in. Overall it's a clean report: only the metal roof and one plumbing leak were flagged for a specialist. Their inspection period ends Thursday.

Here's the email I'd send them. OK to send?

You reply: approve → your buyers get it.

Real screens, not big claims

Here's what it looks like in my own business.

I'm a mortgage broker and a licensed agent, and every one of these came from my own business. The numbers are small, and I'm showing them that way.

9:02 text. 9:08 reply.

Someone on my list peeked at their home value in my email but never typed in an address. At 9:02 a short text went out in my voice. At 9:08 they sent back four property addresses. Nobody sent that text by hand.

After a closing, the review ask went out on its own with my Google link. The next day a new review was up. One so far.

3,280 contacts. 214 in a pipeline.

That was my own CRM before I pointed this at it. Most of the people I'd already worked with were sitting untouched. Yours probably looks a lot like it.

Who built it

An agent built this for agents.

I'm Kristi Olson. I'm a licensed real estate agent and a mortgage broker in Arizona, and I built Apex inside my own business first. I work my list, send a newsletter and keep up my website.

Some of what I built broke first. That's how I know how to set yours up so it doesn't.

I used the time it gave me back to start and buy more businesses. You might use yours for your kids, serving, or becoming the best agent in your market. That part is yours.

Questions agents ask

Is this a lead generation service?

Not by itself. The Reactivator works the people you already have: past clients, your sphere, and buyers and sellers who went quiet. New leads from your website and referrals get answered in minutes too. Leads you buy (Zillow and similar) aren't included.

Does it tell people what their home is worth?

No. It never quotes a value or a price. When someone asks, it gets the address and puts the request in front of you, so you make the call.

Can my broker see the messages first?

Yes. You approve every message before launch, so you can run them past your broker first. Your brokerage and license details go wherever they need to.

I have a TC. Does the Deal Desk replace them?

No. The Deal Desk is an add-on ($199 a month on top of the $299), and it's a backup for your TC, not a replacement. You forward your deal emails, and the dates land on your calendar, so nothing slips if a reminder gets missed.

Will it sound like a robot?

It writes in your voice. When someone asks something only you should answer, like price, timing or a contract question, it hands them to you.

Is this AI?

Yes, it runs on AI. We build it and run it, and you never have to touch it. You approve the messages once, in plain English, before anything goes out.

Do I have to change my CRM?

No. Send us an export of your list and we run alongside what you already use. When someone goes under contract, it stops messaging them and they're all yours.

How fast will I see results?

Honestly, months, not days. Some past clients answer in the first few weeks, but the real payoff builds over time. Results vary.

How fast is it live?

Your part takes about 25 minutes: you send your list and calendar access, and we do the setup. Texting turns on once the phone carriers approve your number, usually one to two weeks, and that part is on their clock, not ours.

What does it cost?

The Reactivator is $299 a month. Reactivator + Deal Desk is $498 a month ($299 + $199, with 3 closings a month included and $49 for each one after). Marketing, opening soon, adds $199; all three are $599 a month. One-time setup is $499. Your first monthly payment comes out 30 days after you start. No contract, cancel any time.

See what it would send your list.
